Privacy Policy
Effective
This policy explains how WellHeard, an iPhone app published by JLITECH LLC ("we", "us"), and this website handle your information.
The short version
- WellHeard keeps everything on your iPhone. We do not collect, see, sell or share your information.
- There is no account system and no server.
- The app uses no analytics, advertising or tracking tools.
What the app stores, and where
WellHeard stores the following on your iPhone, inside the app. None of it is sent to us.
- Patients: the names, relationships, dates of birth and notes of you and any family members you add, and their insurance company, member ID and photos of their insurance cards, if you add them.
- Visits: dates, reasons, and each patient's diagnosis, notes, questions to ask and follow-ups that you enter.
- Clinics and your care team: the clinics and hospitals you add, and the names, roles, contact details and photos of doctors and other people that you choose to add.
- Bills: amounts, due dates, whether they are paid, notes and photos of bills that you add.
- Recordings that you make, their transcripts, and translations.
- Who spoke: the person you or the app named for each transcript line, and a voiceprint for each line, a set of numbers describing the voice, used to label the other lines in that voice. Voices from lines you labelled are used to recognise the same people at later visits; you can turn this off in Settings, or use Forget voice on a person to delete theirs.
- Photos, scans, documents and links that you attach to a visit, and the text read from them so you can search for it.
- Your settings, such as your chosen languages and whether the lock is on.
This is usually sensitive health information, and recordings may include the voices of other people. Please treat it with care.
The app's data is included in your iPhone's own backup, for example iCloud Backup, if you have that turned on. That backup is run by Apple under your Apple Account, not by us, and we have no access to it.
Information we collect
None. We do not operate servers that receive data from the app. We use no analytics, crash-reporting, advertising or tracking tools in the app, and we do not track you across apps or websites.
What leaves your iPhone
Nothing is sent to us. Specifically:
- Transcription, translation and text recognition run on your iPhone using Apple's built-in features. Telling voices apart uses speaker models that come with the app and also run on your iPhone. The first time you use a language, your iPhone downloads that language from Apple. Your audio and text are not part of that request.
- Exports, whether a PDF of one visit or the full export of everything, are created only when you ask and go only where you choose to send them. Anyone who has an exported file can read it.
- Subscriptions are handled by Apple's App Store. The app asks Apple whether your subscription is active; we receive no payment details and cannot see who you are.
- Reminders are scheduled on your iPhone and are not sent through any server.
- Links you attach to a visit open in your browser when you tap them. The app itself sends nothing.
Apple's handling of language downloads, backups and purchases is covered by Apple's Privacy Policy.
Permissions
- Microphone: to record a visit when you tap Record. Recording continues while the phone is locked until you stop it; iOS shows its recording indicator the whole time.
- Camera: to photograph or scan papers from your visit, bills and insurance cards, or to take a photo for a person in your care team.
- Photos and files: when you attach something, the app receives only the items you pick.
- Notifications: to remind you of follow-ups you set.
- Face ID: to unlock the app, if you turn the lock on. Face ID is handled by iOS; the app never sees your face data.
You can change these permissions at any time in the iOS Settings app.
Recording other people
You are responsible for getting permission from everyone you record. Recording a conversation without consent is illegal in some places. The app asks you to confirm that everyone agreed before each recording starts.
Not medical advice
WellHeard is a personal record-keeping tool. Transcripts and translations are produced automatically and can contain mistakes. They are not medical advice. Confirm medicines, doses and instructions with your doctor or pharmacist.
Keeping and deleting your information
Your information stays on your iPhone for as long as you keep it. You can delete a recording, an attachment, a bill, a patient or a whole visit inside the app at any time, and a setting can delete each recording's audio once it has been transcribed. Deleting the app from your iPhone removes everything it stored. Copies in backups you have made, or in files you have exported or shared, are not affected.
Children
WellHeard is not directed at children under 13, and we do not knowingly collect personal information from children, or from anyone else. Parents and guardians can keep records of their children's visits in the app; those records stay on the parent's iPhone.
This website
This website does not use cookies, analytics or advertising, and has no forms or accounts. It is hosted by Cloudflare, which, like any web host, processes technical information such as your IP address and browser type in order to deliver pages and protect the service, as described in Cloudflare's Privacy Policy. If you email us, we use your address and message only to reply to you.
Your rights
Privacy laws such as the GDPR and the CCPA give you rights to access, correct and delete personal data that an organisation holds about you. Because we do not hold any data from the app, you exercise those rights directly on your own device. If you have emailed us and want that correspondence deleted, tell us and we will delete it.
Changes to this policy
If the app or our practices change, we will update this page and its effective date before the change takes effect. If a future version of the app were to collect any data, we would say so here and in the app's App Store privacy details first.
